Challenge
- This annual event attracts over 1000 delegates with 50 Companies exhibiting and over 100 International Speakers attending to review latest developments and news in a highly specialist and prestigious field of medical science.
- To deliver flawless speaker presentation services from greeting on arrival through to onstage production at both the Conference Centre and several off site venues culminating in a spectacular gala dinner event for International doctors and scientists.
- To transform the Brighton Dome into a stunning ‘Italian’ themed venue for the annual Gala Dinner.
- To provide a reliable Internet Café over 3 days in a venue that had only Wi-Fi internet access.
Solution
- A central speaker presentation hub was set up to allow a formal meet and greet and rehearsal area to collate and amend all presentations as required.
- We installed a bespoke data network system throughout the conference centre, which not only enabled us to network the 4 main Conference rooms with the speaker hub but also serviced the Internet Café, Registration Desks and BSH Organizer Offices. When the venue’s own Internet system collapsed we were able to use this private network to supply the needs of all Companies exhibiting at the event.
- Each conference room had full production facilities with a consistently branded stage set. Off site events included interior décor lighting and a complete fit out to transform what was a ‘blank space’ theatre room into a high class gala dinner venue with fully integrated production services including uplit white drapes, a 15m moving video wall and full operatic sound, lighting and staging to showcase the fantastic after dinner entertainment.
Result
- The pre-show planning of this event was considerable, but the seamless presenter services on site with easy and efficient distribution of show files allowed for a ‘hitch free’ production in every conference room. This in turn enabled us to meet the individual needs of Pharmaceutical clients holding sponsored satellite meetings at the Conference.
- The gala dinner venue was transformed in to a stunning reception room to provide a spectacular backdrop for fantastic food and a great show from ‘Opera on the Run’.
- The collapse of the Conference Centre’s Internet could have been disastrous for both the Meeting Organizers and the Exhibitors but we were able to keep everyone on-line and happy!
